Schedule Salesroom Meetings in HubSpot and sync your notes, summary and more.

Salesroom is a certified app on the HubSpot App Marketplace.

Boost your productivity and stay focused during your meeting by keeping your workflow going before, during, and after a meeting.

  • Automatically associate your Salesroom meetings with HubSpot Deals, Companies and Contacts, or link to existing meetings.

  • Sync your Salesroom notes, meeting summary, insights and more straight into HubSpot as soon as the call is finished.

Getting Started - Installation

Once signed in, navigate to your Integrations page and click the "Connect to HubSpot" button in the CRM section.

You'll be asked to sign in to HubSpot and taken to the connections page (if you have multiple HubSpot accounts). Salesroom will ask you to review and accept the necessary permissions and click Authorize.

On success, you'll be taken back to Salesroom where the integration card will now show the connected state.

Settings

Once installed HubSpot Integration Settings can be accessed from the HubSpot card by clicking the Settings Icon. From there you can manage.

  • Auto-sync: automatically sync every meeting to HubSpot

  • Create contact: create new contacts in HubSpot if they don't already exist.

How to Use

Salesroom will try and link to any meetings in HubSpot automatically (unless auto-sync is disabled). This process happens within a minute of the meeting being created, either within HubSpot or your Google Calendar.

Syncing Meetings Scheduled in HubSpot

If you are using the Salesroom for HubSpot Application (recommended), you'll be able to schedule meetings directly in HubSpot from the location field to generate a Salesroom meeting with related associations. As soon as the call is finished Salesroom will sync your team meeting notes, meeting summary and insights.

Syncing Meetings Scheduled in Google Calendar

If you create a meeting in Google Calendar and use your personal URL or the Salesroom Google Calendar Integration (recommended) - then Salesroom will automatically attempt to associate your meeting with your HubSpot data (unless auto-sync is disabled). If no meeting can be found, a new meeting will be created, and associations to the contacts’ existing leads and companies will be created automatically. If any of the meeting participants don’t exist as contacts in HubSpot, they will be created (unless create contact is disabled).

Syncing a Meeting Manually

It is also possible to manually associate Salesroom Meetings with existing HubSpot meetings or create new associations.

Create New Associations

Connect to an existing Meeting

Use this approach if you are sure that no meeting exists in HubSpot yet. This will create a new Meeting in HubSpot with any associations you make.

Use this approach if you know that a meeting already exists in HubSpot to connect this Salesroom meeting.

Managing Associations

Any associations that are made automatically or manually can be removed, and a new one made, at any time before, during, or after the meeting.

The title of each association, when clicked, will open up the details of that association in your HubSpot account.

What gets Synced to HubSpot?

If the meeting is associated with a HubSpot Deal, Company, or Contact before the meeting ends, then Salesroom will sync the meeting's Team Notes, Summary, and Insights directly into the HubSpot meeting notes.

How can you re-sync data?

If you make changes to your meeting notes, update a summary manually, or manually connect a Salesroom call after it has finished, you can always push your Salesroom data into any associations by clicking the Resync button.

This will publish the current state of your Salesroom data into your associated HubSpot meeting notes.

Manage Associations from the Meeting Overview

After a call has ended, you can manage your HubSpot data from the Meeting Overview page. Simply navigate to the "Sync" tab to view the HubSpot integration.

View Custom Fields

Each association with Deals, Contacts, and Companies offers a comprehensive view of each object, complete with predefined HubSpot properties.

Additionally, you have the option to access your Custom Fields. Due to certain limitations in the HubSpot API, we take care of the mapping on our end. To enable access to your Custom Properties within Salesroom, simply provide us with a list of the Contact, Company, and Deal custom fields you most frequently use, and we will facilitate the connection for you.

🗣️ The Custom Fields integration is in active development, and soon we will be adding support for choosing your custom fields from within Salesroom. If you would like to be part of the trials for these additions, please let us know.

Create Tasks

Meeting Action Items can be easily synced to HubSpot tasks. Hover over an Action Item to create a task and click "Create HubSpot Task" to configure task details in a modal.

Syncing a meeting to HubSpot automatically assigns its associations to the Task. If there are no associations, a standalone HubSpot task can still be created and viewed within HubSpot. Meeting associations can be managed via the "Sync" tab.

Disconnect / Uninstall

Disconnect from your Salesroom account

To disconnect the Salesroom for HubSpot integration from your Salesroom account, navigate to the Integrations page in your Salesroom settings and click "Disconnect" in the HubSpot section.

Once disconnected, Salesroom will no longer sync data to your HubSpot account.

Uninstall from your HubSpot account

To uninstall Salesroom for HubSpot from your HubSpot account, refer to HubSpot's documentation for instructions on how to manage your connected apps.

Once uninstalled, Salesroom will no longer sync data to your HubSpot account.

Recommended Setup if you are using Chili Pipper

If you use Chili Piper as your scheduler, Chili Piper provides specific instructions to avoid duplicate syncs with your calendar to HubSpot. To seamlessly sync Salesroom meetings with HubSpot, we recommend following the next steps:

  • Have your calendar connected to Salesroom

  • Have HubSpot integration successfully connected in Salesroom

  • Turn off Engagement Creation on Chili Piper's end (refer to Chili Piper instructions)

  • Connect your Calendar Sync in HubSpot (refer to HubSpot instructions)
